The Challenge: A Time-Consuming, Manual Process
Before Noticehub, Bain Capital's tax notice process relied heavily on manual review and email communication.
When notices arrived, a member of the tax team would open each notice individually, review the contents, determine whether action was required, categorize its priority level, prepare a summary, and email the information to the appropriate internal team or external advisor. High-priority notices required additional explanation, while informational notices still needed to be reviewed and documented.
The process created significant administrative work: notice summaries sent via email often had to be entered into the organization’s tracking system and then re-entered by external advisors into their own trackers, creating duplicate effort across every batch. Adding to that, finding historical context frequently required searching through email chains and trackers.
With batches of notices typically including 50 or more at a time, every one to two weeks, processing a single batch of notices could take two to three hours -- just for the initial triage step, before any substantive work had begun.

The Solution: Centralized Notice Intake and Routing
Bain Capital implemented Noticehub to centralize its tax notice management process.

According to Bain Capital’s VP of Tax, the most noticeable impact has been the reduction in time required to review and route incoming notices.
